Remove 60 Day Email Limit

Project Overview:
Remove the feature of the central email system that deletes email over 60 days old, and update documentation, facilities, and recommendations for users to manage their email by 1/14/2007.
Key Stakeholders:
General usage facility – no specific stakeholders.
Benefits:
Students will be able to keep a semester’s worth of email and greater convenience for other users. Will better position us for mobile/alternative device access to email.
Project Deliverables:
Removal of code implementing limitation, reflection of change in web and any other documentation. Improved documentation explaining how to manage storage quotas; clearer guidelines for users and Help Desk for requesting/allocating increased quotas. New operations procedures for back-ups and restores.

Issues/Risks:
Without automatic purging, more users will start running out of quota more frequently. We need to ensure that everyone understands how to check quota, how empty trash really works, etc. It’s probably pretty clear for webmail users (mainly students), but native client users generally have to go to the old web mail client to see quotas. It would be good to have that information available in another portal channel, such as the new IDM one and roll all of that out at the same time, announcing the future demise of the old web mail client.
How much space to allow users, when we will have more storage, and long term storage requirements are other related issues.
Finally, the original intent of the 60 day limitation was to limit the staff resources we might need to respond to a legal discovery request. How long should we keep back-up tapes of email?
