How to Manage Mail in Outlook 2003

Getting Started

This document will show you step by step instructions on how to manage your email client. Deleting, managing, and storing your emails to free up space in your mailbox.

Inbox Folder Cleanup


Remove any old emails that are in your inbox. Especially look for one's that have large attachments that you have already downloaded to your computer or do not need anymore.

Sent Folder Cleanup


Look through your history of your sent folder and delete any messages that you will not need to return to. If you have a long set of messages with many replies and the last message contains all of the information of the previous messages then you can delete all the messages except for the last one and still keep the information you need.

SPAM Folder Cleanup


If you have set-up Junk E-mail filtering in Thunderbird, you can find that document on the IT website, you should periodically check those messages that have been moved into their and determine if they are spam. If they are then delete those messages.

Deleted Items Folder Cleanup

After you have deleted all your old emails you do not need anymore right click on the trash folder and choose "Empty Deleted Items Folder".


Moving Emails to Your Personal Folder

To free up more space you can move any emails you would like to keep into your personal folders. A tutorial on setting up your personal folders can be found here.

Empty the Deleted Items Folder Upon Exiting

You can configure Outlook to automatically delete your Deleted Items folder when you close Outlook. To do this follow these steps:

  1. Go to Tools-Options
  2. Click the "Other" tab
  3. Check the box that says "Empty the Deleted Items folder upon exiting"
  4. Click Apply and then OK.

Now when exiting Microsoft Outlook, you will be asked if you want to delete all the items in your deleted items folder.
