Project Management Templates

Our PM methodology at UC Merced is based on a “best fit” approach. There is no one-way approach for how much documentation is required or when templates should be used. Outlined below is an approach that would work for most projects.

Project Selection Guide  We estimate the likely time, costs and resources needed for a given project and by meeting the threshold of two of the three criteria we select project type and recommended documentation templates.
Ultra-Lite
  1. Time. Ultra-Lite project charter is to be used for projects that take more than 20 hours of total effort or more than 1 month.
  2. Costs. Unknown and will vary based on project sponsor/manager details.
  3. Resources. As an IT resource-only member, ultra-lite is suggested for IT transparency (monitoring, tracking purposes).
Lite
  1. Time. Lite project charter is to be used for projects that take less than 80 hours of total effort.
  2. Costs. Lite project charter is to be used for projects that cost less than $20k to complete project.
  3. Resources. Uses IT resource-only team members or IT lead project, lite is recommended for IT transparency (monitoring, tracking purposes).
Standard
  1. Time. Standard project charter is to be used for projects that take more than 80 hours of total effort or 6 months.
  2. Costs. Lite project charter is to be used for projects that cost more than $20k to complete project.
  3. Resources. PMO lead and/or multiple units involved, standard is recommended for IT PMO and transparency (monitoring, tracking purposes).
Complex
  1. Time. Complex project charter is to be used for projects that take more than 80 hours of total effort or 1 year +.
  2. Costs. Lite project charter is to be used for projects that cost more than $75k to complete project.
  3. Resources. PMO lead and/or multiple units involved, complex is recommended for IT PMO and transparency (monitoring, tracking purposes).
